Privacy notice

Who we are

ICONIC MORTGAGES LTD (“we”, “us”) is the data controller for the enquiry information you send through this website. We are registered in England and Wales under company number 17332860, with a registered office at 25 Hull Lane, Bicester, England, OX25 2BN.

Iconic Mortgages Ltd is not authorised or regulated by the Financial Conduct Authority and does not give regulated advice. When you ask us to arrange advice we pass your details to Ujjwal Malik at MATCH FINANCIAL PARTNERS LTD (FCA firm reference number 983246), who is the regulated adviser. From that point Match Financial Partners Ltd is a data controller in its own right for the advice process, and its own privacy notice applies alongside this one.

Where regulated data is captured. Any information collected for mortgage or protection advice, including your financial details, credit history and any health information, is processed by Match Financial Partners Ltd under its own data processing terms. You can read them in the Match Financial Partners Ltd privacy policy.

If you have any question about how we use your information, contact info@iconicmortgages.co.uk or write to us at the address above.

What we collect

Through this website we normally collect only your name, your contact details and a short description of what you need, so that an adviser can call you back.

To then give you mortgage or protection advice, Match Financial Partners will normally need:

  • Your name, date of birth, address history and contact details
  • Your income, employment details and bank statements
  • Your regular outgoings, credit commitments and credit history
  • Details of the property involved
  • Health and lifestyle information, where you are applying for protection cover
  • Information about your family, where it affects the advice

Health information is “special category” data under UK GDPR. We only collect it where it is necessary to arrange the insurance you have asked for, and we rely on the substantial public interest basis relating to insurance.

Why we use it, and our lawful basis

  • To provide advice and arrange products — necessary for the performance of our contract with you.
  • To meet regulatory obligations — anti-money-laundering checks, record keeping and FCA reporting are legal obligations that Match Financial Partners Ltd must comply with as the regulated firm.
  • To keep you informed about your mortgage — for example a reminder when your rate is about to expire. This is our legitimate interest, and you can opt out at any time.
  • Marketing — only where you have given consent, which you can withdraw whenever you like.

Who we share it with

We only share your information where we need to. That may include:

  • Match Financial Partners Ltd, the FCA authorised firm through which your adviser gives regulated advice — this is the main reason we hold your details at all
  • Lenders and insurers approached on your behalf
  • Credit reference and fraud prevention agencies
  • Your solicitor, estate agent or accountant, where you have asked us to
  • The Financial Conduct Authority, and the professional indemnity insurers or auditors of Match Financial Partners Ltd
  • IT and administration suppliers who work under contract for us

We never sell your personal information to anyone.

How long we keep it

We keep client records for a minimum of six years after our relationship ends, and longer where a product remains in force or where regulation requires it. Enquiries that do not become clients are deleted after [12] months.

Your rights

Under UK GDPR you have the right to see the information we hold about you, to have mistakes corrected, to ask us to delete it where we have no continuing reason to hold it, to restrict or object to how we use it, and to receive it in a portable format. To exercise any of these, email info@iconicmortgages.co.uk. We will respond within one month.

If you are unhappy with our response you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Cookies

A cookie is a small file a website asks your browser to store. UK law (the Privacy and Electronic Communications Regulations) lets us set the cookies that are strictly necessary to make the site work without asking you, but requires your consent before we set anything else — including anything used for analytics or advertising.

We do not set any analytics or advertising cookies unless you accept them. The first time you visit, you will see a banner at the bottom of the screen with three choices: accept, reject, or choose. Nothing non-essential loads until you decide, and rejecting costs you nothing — the whole site works either way.

What we store when you say no

One thing only: a record of your choice, so we do not ask again on every page. It is kept in your own browser (in local storage, not a cookie), it contains no name, email or identifier, and it is never sent to us or to anyone else. It expires after six months, at which point we will ask you again.

What we load when you say yes

CategoryWho sets itWhat it is forHow long
Analytics Google Analytics 4 (Google Ireland Ltd) Counts visits and shows us which pages people read and where they arrived from, so we can improve the site. We have IP anonymisation on and we do not use it to identify individuals. Up to 2 years
Advertising Google Ads (Google Ireland Ltd) Tells us which advert brought you here, so we do not waste money on adverts that do not work. It can also be used to show you our adverts on other sites. Up to 2 years

These are handled through Google Consent Mode. If you reject, or ignore the banner, Google’s tags either do not load at all or run in a mode that sets no cookies and sends no identifiers.

Changing your mind

You can change your choice at any time using the link, which also sits in the footer of every page. You can also delete cookies through your browser settings at any time.

Fonts and maps

The site loads its typefaces from Google Fonts, which means your browser makes a request to Google’s servers and Google will see your IP address. No cookie is set by that request, and it happens whether or not you accept the banner, because the site cannot render without its fonts.

Where your data goes

If you accept analytics or advertising, the data collected is processed by Google and may be transferred outside the UK. Google relies on the UK Extension to the EU–US Data Privacy Framework and on standard contractual clauses for those transfers. Google acts as our processor for analytics and as an independent controller for some advertising purposes; see Google’s privacy policy. Our lawful basis for these cookies is your consent, which you can withdraw at any time.

Complaints

We take complaints seriously, and most are resolved quickly once we understand what has gone wrong.

Where your complaint goes depends on what it is about. Anything to do with mortgage or protection advice — the recommendation, the application, the paperwork, or the service you received from your adviser — is a regulated complaint and is handled by MATCH FINANCIAL PARTNERS LTD, the FCA authorised firm (firm reference number 983246), under its own complaints procedure. Iconic Mortgages Ltd is not authorised by the FCA and cannot deal with regulated complaints.

Step one — tell Match Financial Partners. Contact them at:

Their head office address, current permissions and any restrictions are shown on their entry in the Financial Services Register under firm reference number 983246, at register.fca.org.uk.

They will acknowledge your complaint promptly and aim to resolve it within four weeks. If they need longer, they will write and tell you why. You will receive a final response within eight weeks of the complaint being received.

If your complaint is only about this website — a broken page, a mistake in the information here, or the way we handled your enquiry before it reached an adviser — you can tell us directly at info@iconicmortgages.co.uk or on 07830 020508. We will pass anything regulated straight to Match Financial Partners.

Step two — the Financial Ombudsman Service.

If you are not satisfied with the final response from Match Financial Partners, or eight weeks pass without one, you can refer the complaint to the Financial Ombudsman Service free of charge. You normally need to do so within six months of that final response.

Match Financial Partners Ltd is covered by the Financial Services Compensation Scheme. Mortgage advising and arranging is covered up to a maximum of £85,000 per eligible person. Further information is available at fscs.org.uk. That cover comes from the FCA authorised firm. Iconic Mortgages Ltd is not covered by the FSCS or the Financial Ombudsman Service, because it is not an authorised firm.

Terms of business

Who regulates the advice

ICONIC MORTGAGES LTD is not authorised or regulated by the Financial Conduct Authority. It is a limited company registered in England and Wales (number 17332860) that runs this website, publishes general information and passes enquiries to a regulated adviser. It does not give advice, arrange mortgages, or handle regulated business.

Your regulated mortgage and protection advice comes from Ujjwal Malik, who is authorised and regulated by the Financial Conduct Authority as an adviser at MATCH FINANCIAL PARTNERS LTD, firm reference number 983246. Match Financial Partners Ltd is the firm responsible for the advice you receive.

In practice this means every regulated document — your suitability report, your illustration, your application paperwork and all regulated correspondence — is issued by Match Financial Partners Ltd and will reach you from a Match Financial Partners email address. Anything you send back should go to that same address.

You can check both records on the Financial Services Register at register.fca.org.uk, or by calling the FCA on 0800 111 6768. Ujjwal Malik’s individual record, individual reference number UXM00304, is here.

A note on the firm’s name. The authorised firm was recently renamed from Match Mortgages Limited to Match Financial Partners Ltd. Companies House has been updated and the FCA Register is being updated to match. The firm reference number, 983246, is unchanged. If the Register still shows the former name against that number, it is the same firm.

The service we offer

Mortgages. We offer a comprehensive range of mortgages from across the market, but not deals that you can only obtain by going direct to a lender.

Protection and insurance. We offer products from a range of insurers for life assurance, critical illness cover and income protection.

We will make a recommendation to you after we have assessed your needs. Any recommendation will be confirmed in writing.

What you will pay us

There will be a fee for the mortgage application, charged by Match Financial Partners Ltd as the regulated firm. The amount depends on the type of lending:

  • Standard residential and buy-to-let mortgages — typically £495.
  • Commercial, semi-commercial and specialist lending — typically 1% of the loan amount.

Fees are set on a case-by-case basis and the figures above are typical rather than fixed.

When it becomes payable. The initial consultation is free of charge. The fee is charged when your full application is submitted to the lender. It is not charged at the first conversation, and it is not deferred to completion, so it may become payable before you know whether the application will succeed. You will be given the exact amount, and confirmation of when it becomes payable, in writing before you apply.

We will also normally receive a commission from the lender or insurer when your product completes. We will tell you the amount before you commit.

Money laundering

We are required to verify your identity and the source of your deposit. This normally means an electronic check, which leaves a footprint on your credit file that does not affect your credit score. We may also ask to see documents.

Conflicts of interest

We will always act in your best interests. If we become aware of a conflict that could affect the service we give you, we will tell you and explain how we intend to manage it before going any further.
